Permission and security
Each user is automatically provided with View and Edit permissions on files or folders according to their membership of various Groups, Roles, Extranet Areas and by virtue of any individual rights granted to them. The Claromentis permission system is comprehensive, easy to use, robust and provides a view on company data that meets each users requirements.
By using a system of check out and check in, authorised users can work on files, allowing other users to view previous versions, aware that a new version is being worked on. When a changed file is checked back in, this becomes the latest version automatically. Authorised users can view the revision history, looking at previous versions and rolling back to any previous version if required. read more
Indexing and searching of Application Data

OCR Indexing
The Document Application OCR module works together with the powerful Claromentis Searching and Indexing daemon to provide search and indexing across content in any type of image file format. It searches the words inside a scanned picture, hand written notes, and scanned faxes. read more
Automatic Notification and bookmarks
Documents provides tools through the messaging system to automatically notify other users when a document is changed, and to subscribe to areas of the document store so that a user will be notified if any information is changed there. This system is particularly useful when the solution is first deployed, before people become frequent users of the system – as these notification can be sent automatically by email. The same notification and subscription approach is used on other types of data, for example Claromentis forums. read more

Documents contains tools to assist with loading of data from the company network, and a comprehensive documents administration panel that allows documents administrators to maintain the system without any support from the IT department or Claromentis staff. read more
Version control
With Claromentis the maintenance of a revision history of any document is completely automated. Authorised users can edit check our and work on a document, when they check it back in a new version is automatically created and the revision history is updated. During the editing process other users can still read the previous version, and are aware a new version is being created. Users a re reminded in the documents application of all documents they are editing, with a one click option to cancel editing or check back in. read more

Workflow is an easy to use system to control and automate the flow of documents within Claromentis, whether based on decisions by users, ( such as ‘approved’ ) or automatically on time criteria ( such as ‘2 months after creation’ ).read more
