Jobsite

Jobsite was founded as the UK's first multi sector online recruitment service by three brothers - Keith, Graham and Eric Potts. This was in 1995 at a time when the whole UK Internet had just 40,000 users.

The Jobsite team includes some of the most experienced people in the UK Internet industry, all dedicated to providing you with the best possible service. This dedication has led to the award winning website in use today.
The Jobsite goal is to make recruitment as simple, fast and effective as possible.

“There may be hundreds of recruitment websites, but there's only one Jobsite”.

Emma Bradley, Solutions Manager for Jobsite, gave some interesting insights into their experiences when she discussed the project with John Stringer, the Claromentis trainer for the project.

What was the situation like before you implemented Claromentis?

“Before Claromentis was implemented, Jobsite referred to several file servers using the Windows My Computer interface. Every user was able to create and remove directories and files. Some directories were protected and this wasn’t realised until a user clicked on the directory and access denied them. There was a great deal of file duplication as a user was unable to remember where files were put originally due to poor labeling of directories and file names, so they would create their own version of a directory and the file. This then led to confusion about where to find the most recent edition of a file, wondering whom the author was and whether the information was reliable to use.

Jobsite also had a CRM system that had a light knowledge management system with limited functionality that some users uploaded information to and most users could rely on, but not all departments had the CRM software installed”.

“How important was the success of this project to your business”?

In early 2002 some employee workshops took place ran by facilitators independent from Jobsite. This was so senior management and The Board could get feedback about what Jobsite employees thought about working for the Jobsite. The main issues highlighted amounted to poor communication and unreliable working documents. As a result it was decided that something like an Intranet was required”.

“A company with just over 80 people may be able to run well without an intranet but Jobsite will certainly operate more smoothly now that employees can communicate more easily and have trust in the documentation being used”.

“What reasons were there for choosing HDIS to perform this work? Did our portfolio, references or own web site influence you in any way”?

“HDIS made it very easy to view the product on offer by allowing me as a user straight into an online demonstration. Other companies I spoke to would not show the product without coming into the office. Two companies offered some demonstration software without any technical support. The result of this was very off putting as we could only see complications with installation and use, as there was no guidance provided. My opinion is, when I am looking for a product, if the product is any good it will not be hidden from the customer – any excuse about protecting a product from competitors do not count as a competitor will find a way to purchase the product if they wish to”.

“HDIS was the second product I evaluated, it took me approximately 20 minutes to go through my checklist of required features. Other products took more than a day because their products were complicated to use. I did continue to evaluate other products and HDIS had the most functionality required by Jobsite staff. After a meeting with the Business Development Manager and a demonstration of the administrator features within Claromentis, the Operations Director and myself were convinced that Claromentis is the product for Jobsite”.

“The cost of Claromentis was very competitive compared to any of the 5 products I evaluated. In my opinion the functionality offered in Claromentis is great value for money.

“Did HDIS deliver on budget and on time? Did you find the costs and timescales reasonable or appropriate”?

“The cost of Claromentis was very competitive compared to any of the 5 products I evaluated. In my opinion the functionality offered in Claromentis is great value for money.

The timescale of the implementation was reasonable. After initial installation, the support offered is very professional and the responses to questions and queries are very quick”.

“Were you kept informed during the project”?

“The 2 project meetings held with Claromentis were ideal to increase the understanding of requirements and the meetings were reasonably short. It was easy to get the information I required to find out how the project was developing. An email to the project manager would result in a detailed update of where we were. The Claromentis development site was of great use. It allowed a document of requirements to be uploaded with a discussion workflow, so the team could comment on each requirement to build up a better understanding of needs. This was useful as it meant the number of meetings could be reduced, cutting time and costs but ensuring requirements were understood”.

“Did you change or enlarge the project specifications? Were HDIS responsive”?

“Some features were developed for Jobsite, such as login integration. This development enabled a user that was logged into the Jobsite network to gain access to Claromentis without logging in, instead they are authenticated as a user of the Jobsite network when accessing Claromentis”.

“Any requirements that were discussed in the initial meetings with HDIS were developed and became part of the initial implementation of Claromentis. Every requirement and suggestion was met with enthusiasm. So far, I have not been told, ‘that isn’t possible’”.

“Please comment on the final result”.

“Employees can be critical of new systems to use as it means extra training and taking time out from what needs to be done each day in their job. Claromentis has just been released for Jobsite employees and all the feedback is good”.

“Training was not required for the majority of users as Claromentis is browser-based software and our company product is browser based. People are used to pointing, clicking and learning here. Administrators were trained up to become Claromentis gurus in order that technical and operational queries could be de-centralized from the IT department, so users of Claromentis feel empowered now”.

“It is still early days and I am hoping for more feedback soon to see how the intranet will develop for Jobsite. The project team is due to have our first “intranet operations” meeting in a couple of weeks in order to gather departmental feedback. There should be more work to do as the intranet is a thing that should grow and grow as time goes on and people get used to the functionality - this is my benchmark. If this project ever stops I know I’ve gone wrong somewhere ;)”.

“Would you use HDIS again if Internet work was required by your company”?

“Jobsite specialize in developing software tools and products for the Jobsite websites. However, we did not have the time and expertise required to build an intranet product, which is why we picked HDIS. However, I hope that our implementation of Claromentis will develop as time goes on and users become more familiar with the intranet. The flexibility of Claromentis offers Jobsite the option to develop the product ourselves or if we cannot spare the resources, to contact HDIS”.

“Would you recommend HDIS to other companies”?

“I have no hesitation about recommending HDIS as a supplier of their product Claromentis. HDIS are a friendly bunch of people and very professional. They have a great deal of expertise to offer and are enthusiastic to see clients obtain their goals. Compared to some companies offering software products, HDIS* are a real pleasure to deal with”.
